This is a non-management (individual contributor) union role. Union employees are eligible for a General Wage Increase each year in January.
***Note: The interview process consists of Prescreen, Hiring Manager interview, a small panel interview—with varied stakeholders—and the final two (2) candidates will be given a writing assessment.
At each interview stage, candidates will be asked to detail clear methodologies and practices, demonstrate their ability to synthesize information and how they professionally manage up and down. Our why: The Executive Assistant role is supporting one of the largest teams at Roosevelt, with both internal and external stakeholders. We want to ensure that the EA is set up for success in this position by outlining these steps.
What You’ll Do
You’ll partner with the Chief Programs Officer to advance company initiatives and achievement toward strategic goals. In this role, you’ll support the day-to-day operations while “looking around the corner” to anticipate future needs.
- Maintain the CPO’s calendar, including time blocking, scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements
- Organize and prepare for meetings: logistics, documentation, etc.
- Prioritizes CPO time based on importance and urgency, using MOCHA, Do/Delay/Delegate/Discard and other prioritization methodologies
- Solutions-oriented, you’ll proactively identify areas of opportunity to improve
- Triage email and other forms of communication as needed via email, phone, Slack, Asana, etc.
- Keep the CPO advised of time-sensitive and priority issues, ensuring appropriate follow-up
- Create and maintain various documents including reports, spreadsheets, presentations, agendas, meeting minutes, etc.
- Prepare, reconcile, and submit expense reports via Concur
What You’ll Have
- Required: 4 plus years’ as an EA directly supporting a Chief/Senior Executive
- Required: Experience supporting an Executive who has not previously had an Executive Assistant
- High level of emotional intelligence; able to maintain confidentiality
- Excellent writing, editing, and proofreading skills
- Professional verbal communication; you can facilitate meetings if needed
- Bias for technology, platforms including Google Workspace, Office, Asana
- Proven and demonstrable prioritization and time-management methodologies
- High attention to detail, accurately translates needs into actions

The salary range for this role is $62,091.00 – $65,000.00 annually. The Roosevelt Institute offers excellent benefits that include 100% paid medical, dental, and vision for employees and 80% paid for dependents; life insurance; vacation; personal and sick time; paid parental leave; professional development; healthcare- dependent- and commuter FSA; and a 403(b) Retirement plan with up to 4% contribution.
