What You’ll Do:
The Finance Associate reports directly to the Senior Finance Manager and works closely with the finance and operation teams to support the daily payable activities of the Roosevelt Institute, its (c)(4) partner organization, and the Franklin D. Roosevelt Library program at the Institute.
This is a non-management/individual contributor, unionized, team role.
Essential Functions and Responsibilities
Accounts Payable:
- Review and process all invoices and employee expenses in SAP Concur and verify correct account, cost center, and supporting documentation. Follow up with invoice submitter for missing documentation and revisions to invoices and expense reports as needed
- Ensure SAP Concur items, including cost centers, accounts, approvers, and credit card permissions for travel are accurate and up to date
- Complete monthly credit card reconciliation and verify correct account, cost center, and supporting documentation. Follow up with credit card holders for missing documentation, expense classification, and tax refunds
- Record all invoices, expenses, and credit card activities in the accounting system
- Ensure that all required approvals are received for all transactions
- Submit semi-monthly AP batches for signatory review and payment
- Complete semi-monthly AP cash disbursements and communicate with controller for monthly bank reconciliations
- Assist with monthly and annual closing ensuring all invoices and expenses are recorded in the correct period
- Review the monthly vendor list and coordinate with invoice submitters and cost center approvers in preparation for monthly closing
- Host a monthly office hour to address staff inquiries and provide guidance on AP-related processes
- Identify and aid with AP process improvements and automation
- Maintain up-to-date digitization of all AP transactions, signatory approvals, and payment confirmations to the server
- Maintain an up-to-date list of all subscriptions and licenses and follow up with cost centers as needed
- Ensure finance resources and guides are current and accessible to all staff
- Respond to all staff and vendor inquiries related to AP
- Communicate all AP announcements and deadlines
Vendor Management:
- Approve new vendor requests in SAP Concur, ensuring backup documentation is accurate and complete
- Review and save to the server updated vendor W-9 and intake forms
- Enter new vendors into accounting system
- Maintain up-to-date vendor information in SAP Concur and accounting system
Finance Projects:
- Assist with annual audits, 990 preparation, budget creation, and 1099 filing
- Assist with annual updates to the Fiscal Policies Manual and the Finance Standard Operating Procedures Manual
- Assist with new hires’ finance orientations
- Assist with other projects as needed
What You’ll Have
- Bachelor’s degree preferred, or equivalent experience required
- Ability to commute to the Manhattan office approximately 1–2 days per week
- Strong verbal and written communication skills
- Excellent attention to detail
- Ability to meet deadlines while managing multiple tasks simultaneously
- Ability to self-start and work independently and collaboratively
- Ability to maintain confidentiality when working with sensitive information
- Hardworking spirit, dedication, and teamwork
- Computer proficiency, specifically in MS Excel and Google Suite
- Experience with accounting software, FUND EZ a plus
- Experience in SAP Concur a plus
- Minimum of one year in a position that involved data entry management

The salary range for this role is $64,922 – $73,036 annually. The Roosevelt Institute offers excellent benefits that include 100 percent paid medical, dental, and vision insurance for employees and 80 percent paid for dependents; life insurance; vacation; personal and sick time; paid parental leave; professional development; healthcare, dependent care, and commuter FSA; and a 403(b) retirement plan with up to 4 percent contribution.
